Job Description – Office Manager
Reports To: General Manager / President
Location: Southwest CT office (Full-Time, On-Site)
Status: Full-Time | Salary Range: $75,000-$90,000

Position Summary
The Office Manager serves as the administrative backbone of the company, ensuring continuity and compliance across critical internal operations. This role is responsible for fleet and asset tracking, insurance compliance, regulatory reporting, and coordination of HR onboarding with external partners. It is ideal for a detail-oriented, highly organized candidate with a background in construction, fabrication, or industrial services.
Core Responsibilities
· Own and maintain all company vehicle, trailer, and equipment tracking, including inspections, renewals, registration, and fuel card oversight.
· Track and document field crew certifications, DOT physicals, and compliance renewals
· Administer insurance compliance for General Liability, Workers' Comp, Umbrella, and Auto policies: manage certificates of insurance (COIs), proof of coverage, and vendor documentation.
· Serve as point of contact for OSHA documentation and reporting (supported by field and safety leads).
· Track and maintain company-wide AISC quality program documentation in preparation for audits (with GM/QC support).
· Coordinate onboarding logistics for all new hires, then hand off to HR/payroll partners.
· Assist with form prep for clients and vendors: lien waivers, COIs, contract documents.
· Provide limited front desk duties (occasional phone answering, customer walk-ins, mail intake, order supplies, cashiering).
· Overall management and ordering of office / break room supplies.
Desired Skills & Experience
· Minimum 3–5 years in construction, fabrication, or insurance-heavy administrative environment.
· Strong understanding of insurance terminology, policy schedules, and compliance processes.
· Detail-oriented mindset with ability to juggle renewals, forms, and time-sensitive submissions.
· Comfortable navigating Dropbox, Excel, and Microsoft Office Suite.
· Excellent interpersonal skills with ability to support both field and office teams.
